Neatwork Ltd operates the platform at neatwork.io. We provide AI-powered automation tools that businesses use to handle enquiries, qualify leads, and process customer interactions.

2. What data we collect

When a person interacts with an AI chat interface powered by our platform, we may collect:

• Name
• Phone number
• Email address
• Property or project details provided during the conversation
• The content of the chat conversation itself

This data is submitted voluntarily by the person using the chat interface.

3. Why we collect it

We collect this data to qualify and process enquiries on behalf of our clients — the businesses that use our platform. The data is used to pass relevant information to those businesses so they can follow up with the enquirer.

4. Legal basis

We process personal data on the basis of the legitimate interests of our clients in receiving and acting upon enquiries submitted through their AI-assisted channels. Where required, our clients are independently responsible for ensuring their own lawful basis for further processing of that data.

5. Third parties

In order to provide our service, we share or process data with the following sub-processors:

• Anthropic — AI model provider. Conversation content is sent to Anthropic's API to generate responses. Anthropic's privacy policy applies to this processing.
• Hetzner — Cloud infrastructure provider. Data is stored on servers hosted at Hetzner's data centre in Nuremberg, Germany (EU).
• Cloudflare — DNS and CDN provider. Network traffic may pass through Cloudflare infrastructure.

We do not sell personal data to any third party.

6. Data retention

• Active client data — retained for 12 months following the end of a client contract
• Prospect data (enquiries that did not convert) — retained for 6 months
• Financial records — retained for 6 years in accordance with legal obligations

After these periods, data is deleted or anonymised.

7. Your rights

If your personal data has been processed through our platform, you have the right to:

• Access the data we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Object to or restrict processing

8. Cookies

We do not use tracking cookies or advertising cookies. Our platform uses only functional cookies where strictly necessary for the operation of the service (for example, maintaining a session). No third-party analytics or advertising networks are used.

We may update this policy from time to time. When we do, we will revise the effective date at the top of this page. Continued use of our platform after any changes constitutes acceptance of the updated policy.
